Privacy Policy

Who we are

W.A.A.R. ("W.A.A.R.", "we", "us") is the controller of the personal data described in this policy. W.A.A.R. is a two-person agency based in Montréal, Canada. The business is not incorporated, so there is no company registration number to quote.

Shan is the person responsible for the protection of personal information at W.A.A.R., as required by Québec's Act respecting the protection of personal information in the private sector. Requests, questions and complaints about your data go to Shan at contactteamwaar@gmail.com.

What we collect

We collect only what we need to answer enquiries and deliver work:

• Enquiry details — the name, email address, company, budget range and message you submit through this site.
• Client project data — content, access credentials and approvals shared with us while a project is active.
• Traffic counts — aggregate page views from our hosting provider, Cloudflare. They are cookieless and not tied to an individual visitor.
• Call data for AI receptionist clients — call recordings, transcripts and summaries generated by Retell AI on behalf of the business that operates the line. In that setup the business is the controller and we act as its processor.

Why we use it

• To reply to your enquiry and prepare a quote.
• To deliver and support the services you have engaged us for.
• To improve this website and understand which pages are useful.
• To meet accounting, tax and legal record-keeping obligations.

Our legal bases are performance of a contract, our legitimate interest in responding to business enquiries and running our agency, consent where we rely on it, and compliance with legal obligations.

Cookies and analytics

This site sets no cookies at all. There is no cookie banner because there is nothing to consent to — no advertising cookies, no analytics cookies, no tracking pixels. The only measurement is Cloudflare's cookieless aggregate traffic reporting, which does not identify you.

Server logs are kept for security and troubleshooting for 90 days.

How long we keep it

• Enquiries that do not become projects: 12 months.
• Project and financial records: 7 years, as required for tax and accounting.
• Call recordings and transcripts: 30 days, for AI receptionist clients.
• Traffic statistics: no individual data is stored by us; Cloudflare keeps aggregate counts only.

Who we share it with

We use a small number of processors and never sell personal data. The categories are:

• Hosting and infrastructure: Cloudflare
• Email delivery for this site's forms: Resend
• AI voice platform for receptionist clients: Retell AI
• Advertising platforms, for clients who run campaigns: Google and Meta
• Accountants and professional advisers, where necessary.

We may also disclose data where we are legally required to, or to establish or defend a legal claim.

International transfers

Some providers process data outside Canada, in particular in the United States. Where that happens we rely on the providers' standard contractual clauses and data processing terms, and take reasonable steps to ensure an equivalent level of protection.

Your rights

Depending on where you live, you may have the right to access, correct, delete, restrict or port your data, to object to processing, and to withdraw consent. Write to contactteamwaar@gmail.com and we will respond within 30 days.

You can also complain to a data protection authority — in Québec, the Commission d'accès à l'information, and federally, the Office of the Privacy Commissioner of Canada. We would appreciate the chance to resolve it with you first.

Security

Access to client data is limited to the people who need it. We use encrypted connections, password managers and two-factor authentication on the accounts that hold personal data. No system is perfect, but we will notify you and the relevant authority of a breach where the law requires it.

Changes

If this policy changes materially we will update the date at the top of this page and, where we hold your contact details, tell you directly.
